How Cassidy automates RFI management using AI

Step 1: Trigger on new RFI request

The Workflow activates when a project engineer submits a field note, photo, voice memo, or marked-up sheet—or when an issue is flagged in Procore, Autodesk Build, or your project's CDE.

Step 2: Index plans, specs, and project history

Cassidy's Knowledge Base ingests and indexes all contract documents—drawings, specifications, addenda, and prior RFIs—using OCR and semantic search to map sheet references, CSI sections, and spatial context like gridlines and room numbers.

Step 3: Draft the RFI with auto-citations

Cassidy generates a complete RFI package: a clear, singular question; proposed solutions; precise references to drawing sheets and spec sections with hyperlinks and callouts; embedded photos; and a needed-by date derived from the project schedule. The system classifies the reason code and discipline, and flags potentially unjustified RFIs if the answer already exists in the contract documents.

Step 4: Route and assign reviewers

The Workflow automatically assigns ball-in-court ownership to the appropriate Architect, Engineer of Record, or subconsultant based on discipline. Contractual due dates are set, reminders are scheduled, and overdue items are escalated—all tracked in a live dashboard.

Step 5: Consolidate reviewer inputs into an official response

Cassidy summarizes inputs from multiple reviewers and generates a consolidated official response draft for the RFI Manager. When the response changes scope, cost, or schedule, the system prompts creation of an ASI, Bulletin, or PCO and prefills the required documentation.

Step 6: Distribute, link, and close

The official response is pushed back into your CDE, attached to the relevant sheet locations, and distributed to impacted trades with read receipts. Cassidy links the RFI to schedule activities and budget items, updates the RFI Register with full ball-in-court history, and maintains an auditable trail for closeout and claims defense.
