AkitaBox, based in Madison, Wisconsin, helps teams do just that. Their platform brings structure to facility operations, giving organizations a better way to manage assets, plan budgets, and make informed decisions across complex spaces.

Like many teams, AkitaBox started exploring AI without a clear roadmap.

“At first, AI was just something to mess around with. A novelty. A toy,” as Co-Founder Josh Lowe put it. “But that didn’t last long. The more we explored it, the more we realized it wasn’t just interesting — it was essential.”

At the time, most of the facility management industry was still early in its AI journey. Use cases were light. Tools were fragmented. But AkitaBox saw a chance to move faster and go deeper.

That shift started with Cassidy.

From First Use to Foundational

For a while, AI was just something AkitaBox explored on the side. It was interesting …  even fun. A way to test what was possible. But that mindset didn’t last.

“It started as fun, something we could poke around with. Then it became very apparent: this is our future,” said Co-Founder Josh Lowe.

At first, like many companies, AkitaBox experimented with simple prompts and chat tools. But it quickly became clear that novelty alone wasn’t going to move the business forward. What they needed was a way to operationalize knowledge — to make the expertise already inside the company more accessible, and reduce the constant pull on leadership time.

Josh started thinking bigger. What if new employees could get answers without needing to track someone down? What if institutional knowledge could be centralized, searchable, and actually useful in the moment it was needed?

That’s when Cassidy came in.

Using AI to Onboard and Train Employees

Josh’s turning point came when he applied AI to one of the company’s biggest bottlenecks: onboarding.

As a co-founder, he was constantly fielding the same questions from new hires. What he needed was a way to scale institutional knowledge — without sacrificing accuracy or pulling leadership into every small request.

“One of the first spots that we wanted to do was... we onboard staff all the time... and as a co-founder, my time gets chewed up quickly,” Josh said. “Being able to create literally kind of a virtual sales trainer — something that could put our knowledge base at the fingertips of our employees — gave us the ability to scale my time, our engineers’ time, and a bunch of others.”

By centralizing internal knowledge in Cassidy, Josh built an assistant that pulled from training materials, sales docs, marketing content, and FAQs. Instead of relying on scattered files or Slack pings, new team members could ask questions and get accurate answers instantly.

That single workflow didn’t just solve a major problem, it opened the door for more AI use cases. What started as a way to support onboarding quickly turned into a broader strategy for using AI across the business.

Rebuilding Go-To-Market Strategy with the Help of Cassidy

One of the most valuable wins came from how AkitaBox used Cassidy to clean up and optimize their go-to-market infrastructure. Their GTM motion was solid, but it was hard to scale. Key systems like HubSpot were growing quickly but weren’t evolving alongside the business.

The CRM was full of valuable data, but lead records were inconsistent. Segmentation no longer reflected their updated ICP. And major updates kept getting delayed because they simply took too long to do right.

Josh and his team built workflows that could run across thousands of records. No spreadsheets. No field-by-field edits. Just structured automations that brought consistency back to their data and aligned it with how the business actually operated.

With everything running in sync, campaigns went out faster and performed better. The team had cleaner data, clearer priorities, and more room to focus on strategy instead of maintenance.

“I can’t tell you how many months Cassidy saved us,” said Josh. “The time we gained by making our CRM more targeted? That’s directly tied to some of our best months in terms of marketing leads.”

Cassidy didn’t just clean up the backend. It became a core part of how AkitaBox executes across their GTM team, giving the team better infrastructure, better visibility, and a faster path to impact.

Enabling SDRs With Context That Converts

The sales team saw the impact too. 

Josh used Cassidy to build an internal tool that gave SDRs better prep ahead of outreach,  without requiring time-consuming research or guesswork.

Reps could drop in a prospect’s website URL, and Cassidy would return a detailed overview of the company. But it wasn’t just a generic summary. The output was designed to help SDRs understand how AkitaBox fit into the picture.

The workflow pulled in key details about the prospect’s operations, industry, and likely pain points, then framed them using AkitaBox’s language and positioning. 

Instead of asking reps to interpret the data themselves, Cassidy gave them a clear way to approach the conversation and surface the right value prop from the start.

“It’s going to give you a full breakdown of how I want you thinking about their problem,” Josh explained.

This kind of prep helped new reps ramp faster, and gave the whole team more consistency in how they showed up to early sales calls. With less time spent bouncing between tabs or trying to connect the dots, reps could focus on what mattered, starting smarter conversations with the right prospects.

From Workflow Wins to Business Growth

Cassidy didn’t just fit into how AkitaBox worked. It helped reshape how they think about growth.

The platform gave them an edge. Not just by saving time, but by helping every team move faster, automate with confidence, and stay in sync as the business evolves. What started as a handful of workflows has become part of the foundation for how the business operates.

And they’re not done.

“It’s creating so much more opportunity with my data and my business than I ever would have had, even with an extra employee or two,” Josh said.
